Facilities Management, a department of University Services, is responsible for the physical
assets of the University to ensure a safe, reliable and welcoming environment for students,
faculty, staff and visitors in support of the University’s mission of teaching, research and
outreach. The University of Minnesota’s Facilities Management department maintains 23 million
square feet, currently divided into 5 geographic areas, with an annual budget of $175 million.

Description of Position
This position is responsible for all maintenance and custodial activities in team building(s)
(approximately 1 M gross square feet) and serves as the customer’s single point of contact for
the daily tactical facilities related work. This position focuses on the direct delivery of continuous
cleaning and preventive maintenance in assigned building(s), directly supervising the
maintenance and custodial personnel (including a custodial or facilities supervisor) for assigned
building(s). Responsible for customer service and other facilities management support
functions. Meets regularly with primary building contacts and is responsible for insuring
ensuring that FM is meeting or exceeding customer expectations. Ensure environmental
sustainability initiatives are integrated into all facilities operations. Reports to District Associate
Participates in district leadership team to develop strategic direction, set priorities and lead
district wide initiatives.
Directly supervises a work team comprised of any combination of Trades, Mechanics, Building
and Grounds Workers and/or Front Line Supervisors.
Engages consistently with front line staff for awareness of environment and challenges.
Assigns work for staff and monitors work in progress and completed work for quality and

15% Customer Success
Serves as the customer’s single point of contact for all facilities related work in team building(s).
Coordinates, seeks out assistance for and advocates for other facility related needs within these
buildings (capital; security; health and safety; utilities; etc.).
Promotes customer-focused service in conjunction with other University Services departments.
Tailors service delivery in area to meet customer/departmental needs based upon service level
Meets regularly with customers’ building contacts to ensure FM is meeting or exceeding their
Upholds and promotes FM’s stewardship and facilities services responsibilities in District
Operations at the University of Minnesota.
Responsible for all maintenance and custodial activities in assigned area.
Conducts monthly safety meetings, monitors line staff for safe work practices and program
compliance, maintains up- to-date safety manuals and Material Safety Data Sheets (MSDS)
Reviews, revises and manages building specific preventive maintenance programs for team
Monitor building automation systems taking appropriate action to resolve alarms
Conducts routine custodial inspections and assessments of all areas and provides feedback to
Manages line staff time card entry and approval, and approves vacation and sick leave requests
of direct reports.
Responsible for key security and inventory within crew.
Monitors and assures procurement and timely distribution of parts, supplies, tools, uniforms and
equipment to work sites.
Complies with all Team Leader accountability measures.
Prepares monthly reports as required. Responsible to track team’s performance against
established criteria. Takes corrective actions to achieve goals.
Available to work flexible work shifts as determined by Associate Director and team activity
Takes part in after hours/weekend/holiday on-call rotation.
10% Finance and Budget
Manages labor, supplies, parts and project costs to meet budget targets.
Manage service work/contracts holding vendors accountable to performance expectations
Responsible for providing input in the development and management of the team-operating
Provides support to the District Associate Director in the development of an annual business
plan and capital budget based on the institution’s capital plan for team buildings.
Annually reviews FCA report for team buildings and updates as needed.
Essential Functions of Position:
Responsible for all maintenance and custodial activities in team building(s). Serve as the
customer’s single point of contact for all facilities related work including projects in team
building(s). Promote customer-focused service in conjunction with other University Services
departments. Directly supervise and develop staff including administering the performance
management program, coaching and motivating employees to improve performance, and taking
BA or BS degree
Minimum eight years of experience in a facilities management organization, including direct
Two years of management experience leading or supervising building maintenance and/or
custodial work teams.
Knowledge, Skills and Abilities
Knowledge of preventative maintenance principles and practices; custodial team-cleaning
based operations; principles and practices used in large scale facilities maintenance and repair
operations; automated maintenance planning and scheduling systems.
Knowledge of large scale building systems including electrical, plumbing, HVAC, building
automation systems, fire alarms, machinery and custodial principles and practices. (Prior work
as a maintenance mechanic or building operations trade work is a plus).
Ability to manage through subordinate supervisors; lead and give direction in a unionized
setting; communicate effectively within a diverse customer and human resource base; manage
conflict; team building.
Ability to negotiate with customers and internal/external service delivery partners.
Ability to lead, manage and direct the activities of other toward the accomplishment of goals and
Oral and written communication skills, analytical/problem solving and conflict resolution skills.
Ability to utilize Kronos, Tririga and other job related software tools
Ability to apply technology-based tools to collect, interpret and analyze critical management
Knowledge of Microsoft office suite including Word, Excel and PowerPoint.

70-80% of work is performed in the field including University facilities and
construction/remodeling sites. 20-30% of work is performed in a general office setting. This
position may be exposed to equipment and machine areas, hot/cold areas, extreme weather
conditions, tunnels and confined spaces.
